What This Does

Zoom's AI Companion automatically transcribes your safety meetings, generates a structured summary, and extracts action items with owners and due dates — so you can focus on the conversation instead of furiously taking notes.

Before You Start

  • You have a Zoom account with AI Companion enabled (requires paid Zoom plan or admin to enable it)
  • Participants are aware the meeting will be recorded/summarized (best practice and legally required in some states)
  • Your safety committee meeting or incident review meeting is scheduled in Zoom

Steps

1. Enable AI Companion before your meeting

Sign into Zoom at zoom.us. Go to Settings → AI Companion. Make sure Meeting Summary with AI Companion is toggled on. Also enable AI Companion for In-Meeting Questions if available on your plan.

2. Start the meeting and enable the summary

When your safety meeting starts, look for the AI Companion button in the meeting toolbar (it looks like a sparkle/star icon). Click it and select Start Meeting Summary. A notification will appear to all participants that AI summary is active.

3. Run your meeting normally

Conduct the meeting as you normally would — incident reviews, open corrective actions, upcoming training, safety performance. The AI is capturing everything in the background. You don't need to do anything differently.

4. Review the auto-generated summary

After the meeting ends, Zoom emails you the summary within a few minutes. The summary includes:

  • Overview — 3-5 sentence meeting recap
  • Key Takeaways — bullet points of main discussion points
  • Action Items — each action item, who owns it, and any mentioned due dates

5. Edit and distribute

Open the summary email and copy the action items section. Make minor edits (Zoom sometimes misattributes action items to the wrong person if names are unclear). Paste into your meeting notes template or email to the safety committee directly.

Real Example

Scenario: Monthly safety committee meeting with 8 people — discussing 3 open corrective actions, Q2 incident review, and planning the next quarterly safety training.

What you do: Enable AI Companion at the start. Run the meeting normally. After the meeting, Zoom sends you the summary.

What you get: A summary that reads: "The committee reviewed Q2 safety performance showing a TRIR of 1.8, discussed the three open corrective actions from the April forklift near-miss, and agreed that forklift pedestrian separation barriers will be installed by [name] before July 15. [Name] will schedule the annual lockout/tagout refresher training for the week of July 22."

Time saved: 30–45 minutes of post-meeting documentation reduced to 5 minutes of review.

Tips

  • Speak clearly and use people's names when assigning action items ("Dave, can you get that barrier installed by the 15th?") — this dramatically improves AI attribution accuracy
  • If your facility has confidentiality concerns about sending meeting audio to cloud AI, use the summary feature only for internal safety committee meetings, not for investigations involving personal injury details
  • If Zoom isn't your platform, Microsoft Teams has equivalent AI meeting summary features under Copilot
