Use SafetyCulture's AI to Generate Inspection Reports
What This Does
SafetyCulture's AI can automatically generate written descriptions for inspection findings based on your photos and checklist responses, then suggest corrective actions — so you spend your time on the floor, not writing reports at your desk.
Before You Start
- You have the SafetyCulture app installed on your phone or tablet
- You have an active SafetyCulture account (free tier available)
- You have a checklist/template set up for your inspection type
Steps
1. Open your inspection template
Open the SafetyCulture app on your phone and tap Inspections in the bottom menu. Tap the template you want to use (machine guarding, housekeeping, electrical, etc.). If you don't have one, tap + New Inspection and search the template library for your inspection type.
2. Complete the checklist and capture photos
Walk through your inspection normally. For any failed item or observation, tap the camera icon to take a photo of the issue. You'll see the photo attached directly to that checklist item.
3. Add a brief note — AI fills in the rest
In the text field below the failed item, type a short note about what you see (e.g., "guard missing" or "oil on floor"). Tap the AI Suggest button (magic wand icon or similar — it may appear as "Generate description"). SafetyCulture AI expands your note into a complete finding narrative with location, condition, and safety concern.
4. Review the suggested corrective action
Below the finding description, SafetyCulture will suggest a corrective action based on the finding category. Review it and adjust for your specific situation — assign it to the responsible person, set a due date, and mark the priority level.
5. Generate and share the report
When the inspection is complete, tap Complete and then Share Report. Choose PDF or the shareable link. The AI-generated finding narratives and corrective actions populate automatically into a professional report.
Real Example
Scenario: You're doing a monthly machine guarding inspection in a manufacturing facility and find 3 deficiencies.
What you do: For a missing conveyor guard, you take a photo, type "guard missing" in the text field, and tap AI Suggest.
What you get: "Conveyor belt guard is absent on the intake side of the unit, exposing the pinch point between the belt and roller to worker contact. This condition creates a risk of entanglement injury consistent with OSHA 29 CFR 1910.212 machine guarding requirements. Guard must be replaced before equipment is returned to service."
The app also suggests: "Immediately take equipment out of service. Install original manufacturer guard or equivalent. Verify guard is properly fastened before resuming operations. Document corrective action in the EHS management system."
Tips
- Take photos from multiple angles for major findings — the AI generates more detailed narratives when it can see the context
- If the AI suggestion misses the regulatory citation, add it manually — you know your standards better than the AI does
- Set up automatic report delivery to supervisors in SafetyCulture settings so corrective actions land in their inbox without extra steps from you
Tool interfaces change — if a button has moved, look for similar AI/magic/smart options in the same menu area.
