What This Does

Zoom AI Companion automatically transcribes your safety committee meetings, generates a structured summary, and extracts action items with owners and due dates — so you can focus on the meeting instead of frantically taking notes.

Before You Start

  • You have Zoom installed and are using it for safety meetings (or can move your monthly safety committee meeting to Zoom)
  • Your Zoom plan includes AI Companion (included with paid Zoom plans; check your account)
  • All participants know and consent to recording/transcription

Steps

1. Enable AI Companion before the meeting

Open the Zoom desktop app and click Settings (gear icon). Select AI Companion from the left menu. Toggle on Meeting Summary and Meeting Questions. Check that Auto-start AI Companion is enabled if you want it to start automatically.

2. Start the meeting — AI Companion activates

When you start or join the meeting, look for the AI Companion button in the meeting controls bar at the bottom (it looks like a star or sparkle icon). Click it and select Start Meeting Summary. Participants will see a notification that AI is summarizing the meeting.

3. Run your safety meeting normally

Discuss your agenda items: incident review, open corrective actions, training completion status, upcoming inspections. Zoom AI transcribes everything in real time. You can ask questions mid-meeting using the chat — type "What action items have we discussed so far?" and AI will summarize them.

4. End the meeting — AI generates the summary

After ending the meeting, Zoom automatically processes the recording and sends you an email with: a structured meeting summary, a list of action items identified, and a link to the full transcript. This usually arrives within 5–10 minutes.

5. Edit and distribute

Review the AI summary for accuracy — especially action item owners and due dates, which the AI sometimes attributes incorrectly. Edit in the Zoom web portal or copy into your email/EHS platform. Send to all attendees.

Real Example

Scenario: Your monthly safety committee meeting covers 6 agenda items including 3 open corrective actions, a new OSHA update, and Q2 incident review.

What you do: Run the 60-minute meeting normally with AI Companion active. After the meeting, review the 5-minute AI-generated summary.

What you get: A summary listing all 3 open corrective actions with their assigned owners, a note that the OSHA heat illness rule takes effect [date], and Q2 incident totals — ready to forward to the safety committee in under 5 minutes.

Tips

  • Speak action items clearly: "Mark, please update the confined space procedure by June 15th" — the AI captures these better than implied commitments
  • Share the meeting summary in your EHS platform's action item tracker to maintain traceability
  • If Zoom AI misattributes who said what, the full transcript is always available to verify
